Schedule: Academic School Year --44 weeks (Before faculty are required to return and one week after US commencement).
Reports To: Lower School and Middle School Principal
Hours: 7:30 am to 3:30 pm (required to be in person)
FLSA Status: Full-Time, Hourly Non-Exempt
The Middle School (MS) Receptionist offers general administrative and clerical support to the Middle School/Lower School Principal and the MS Office. This position follows an academic school-year calendar and serves as the first point of contact for students, colleagues, parents, and visitors, ensuring a warm, welcoming, efficient, and organized environment for everyone.
Essential duties of the role: Duties may change, and others may be assigned
Provides a welcoming MS front desk presence; greets and assists students, parents, colleagues, and visitors daily
Maintain the visitor sign-in and out procedures to ensure compliance with school safety protocols
Manage and input the MS student attendance data; generate reports
Manages the substitute teacher list, scheduling daily sub coverage as needed for the MS
Maintain middle school student files and academic requests, including report cards and transcript requests
Answer, screen, and direct incoming MS calls
Help prepare the MS schedule in collaboration with the LS Administrative Assistant
Manage student drop-off and pick-up records, including later arrivals and early departures, in the Middle School
Help coordinate incoming and outgoing MS deliveries and receive mail for the MS
Coordinate the arrangements for MS trips, and help faculty complete required paperwork
Assist with MS sectioning and rostering databases
Enter maintenance and tech work orders for the Middle School
Troubleshoot any issues with the MS copier and order repairs when necessary
Prepare purchase orders for the MS, with all necessary accompanying paperwork
Make copies and prepare print materials for events and meetings, when required
Attend and convey relevant middle school information in weekly calendar meetings
Assist with MS special events, as needed and upon request
Assist faculty with scheduling professional development activities and conferences, and with business office paperwork
Provides assistance during school drills or actual emergencies
Degree, Experience, and Demonstrated Competencies: An Associate’s Degree or a higher degree, along with relevant work experience, is required
A minimum of two years of relevant work experience is required
Exceptional organizational, time-management, and multitasking abilities are required
Strong written and verbal communication skills are required
Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools is required
Experience working on and managing database information are required
Ability to maintain confidentiality and exercise sound judgment are required
Professional demeanor and interpersonal skills to engage effectively with diverse audiences are required
Strong attention to detail and able to work independently are required
Supervisory Responsibilities: This job has no supervisory responsibilities.

Salary/Wage: Hourly Wage $26.00 per hour. Salary offers are based on factors that include years of experience, training/skills, internal peer equity, market, and other organizational considerations. The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future.
