The Office of the Registrar serves students pre-kindergarten through twelfth grade. Cumulative folders for enrolled students are maintained in this office.This position also provides some administrative support across the school and reports to the High School Principal.
Updating and maintaining student records
Creating, Maintaining and submitting student transcripts, updating GPA's and Standardized test scores
Managing PSAT testing registration process and organizing PSAT testing - Tracking and recording test scores.
Assisting learning specialist with organizing testing and proctoring for school-based accommodations
Managing the production and the mailing of diplomas
Assisting in the mailing of IB exams
Assist College Counseling in managing the schedule and hosting duties for college reps visits
Managing NCAA transcript submissions and course list
Assist in processing and maintaining students’ college application materials
Ensure teacher recommendations are completed and uploaded in a timely fashion
Ensure that transcripts of courses taken during the summer for remediation are received and filed
Under direction of College Counselor Maintain approved UC course list
Summer Session Assistance:
Dispatch final high school transcripts to the students’ attending schools, including records from previous schools (if applicable), and results of French Baccalaureate Exams.
Liaise with Administrative Services regarding the attrition report. Prepare cumulative folders for students transferring to new schools. Move cumulative folders to storage.
Update 8th grade transcripts with final semester grades for students enrolled in bay area schools outside of International High School.
Filing: Pre-Kindergarten through grade 12: Report Cards, Test Scores, Emergency Cards, and current photos and appropriate documents into student’s cumulative folders.
Prepare envelopes for dispatch of IB Certificates and Diplomas to families.
COLLEGE BINDERS: Prepare binders with indexes by student name. Insert final transcript, recommendation letters and appropriate documents.
Liaise with the Offices of Admission for review of new file completion. Integrate folders from the International and French American admissions offices for new incoming students into cabinets.
COLLEGE FILES: Organize Transcript, G.P.A. Chart, S.A.T. Scores and all records from previous schools, if applicable. Prepare draft transcripts for distribution to the students in September.
NAVIANCE: Final review of transcripts, convert to PDF files for uploading into the college counseling database in preparation for the fall application season.
College Application Season:
Calculate 6th semester grade averages.
Collect and collate teacher and counselor recommendations (with forms) and file into each student’s dossier.
Prepare transcripts of sixth and seventh grade coursework for eighth grade students applying to high schools.
Prepare Lower School Records for students applying to various elementary and middle schools
Update seventh semester transcripts. Replace transcripts on file with the current updated document.
Re-calculate Grade Point Averages and ranking to include the 7th semester report card grades.
Update 8th grade transcripts with semester grades upon receipt of report cards (February 1st – 5th).
Replace transcripts with current version in college folders
Spring Wrap Up:
IB: Consult IBIS website to obtain examiner report. Enter Examiner addresses into FEDEX address book in preparation for dispatch of World Lit Assignments, Internal Assessments, Extended Essays, and May Examinations. Arrange for shipping pick up online.
Compile award nominees submitted by faculty in excel.
Collate and sort diplomas, awards, and various documents in preparation for graduation ceremonies for 5th, 8th and 12th grades.
SKILLS AND QUALIFICATIONS
Minimum of 3 years of registrar and/or clerical experience
Proficiency in Microsoft Office Suite, with an emphasis on Excel
Working knowledge of Database entry and manipulation using Administrator’s plus, Scoir, EDT
Flexibility and independence
Confidentiality is a must in this position
